Calendar: Adding Room Calendars

The following instructions are for adding room calendars to your local, Outlook client as Outlook is the officially supported Calendar/Email application for Dartmouth College. The following instructions may be applied to other calendar applications but results may vary.

Note: With the exception of Office365 (BWA), you must be connected to the Dartmouth Secure network or VPN to add calendars. Once you are connected to the calendar it can be accessed from any available network.

  • While in the Calendar section of Outlook, click the Open Shared Calendar button in the top menu bar

  • At the Open Calendar window, type the following into the Search for a person… field replacing the characters XXX with the room number you wish to add:
    • 37 Dewey Field Road – Dewey.Room.XXX
    • Vail Building – Vail.Room.XXX
    • Williamson Translational Research Building (WTRB) – Williamson.Room.XXX
      Note: Spaces will work in place of periods

  • As you type, available calendars will propagate within the list. If the calendar you wish to add is in the list, select it so it is highlighted and then click the Open button.
  • After it goes through the Checking permissions… process, an authentication window will pop up. Make sure the box is checked to the left of Always use my response for this server and then click Allow

  • In the left hand column under the heading Shared Calendars, you will now see your recently added calendar. It may take time for the calendar events to synchronize to your client. If you do not see the calendar events in your calendar window, be sure to check the box to the left of your recently added calendar

  • After logging in to Office 365 (BWA – https://bwa.dartmouth.edu), click on the App tiles in then click Calendar

  • Once in your calendar, click the Add calendar button at in the top menu and then click From Directory in the drop down menu

  • In the Open calendar window, type the following in the field beneath From directory: replacing the characters XXX with the room number you wish to add:
    • 37 Dewey Field Road – Dewey.Room.XXX
    • Vail Building – Vail.Room.XXX
    • Williamson Translational Research Building (WTRB) – Williamson.Room.XXX
      Note: Spaces will work in place of periods

  • As no calendars will display automatically, click the Search Directory button that pops up below your room number
  • If you typed the entire room number, it will resolve in the following list. If you typed part of the room number, a list of rooms may resolve. Click the name of the room you wish to add

  • With the correct calendar displaying in the window, click the Open button

  • In the left hand column under Your calendars you will now see your recently added calendar. The events will immediately be display in the calendar window as it is pulling directly from the server and does not need to sync to a local application

  • While in the Calendars section of Outlook, click the Open Calendar button in the top menu bar and then select Open Shared Calendar…

  • In the  Open a Shared Calendar window that pops up, type the following into the Name… field replacing the characters XXX with the room number you wish to add and then press the OK button:
    • 37 Dewey Field Road – Dewey.Room.XXX
    • Vail Building – Vail.Room.XXX
    • Williamson Translational Research Building (WTRB) – Williamson.Room.XXX
