Email Delegates

Microsoft Outlook gives users the ability to set up an email delegate who may perform tasks for that user, or specifically as that user. This can be helpful if you  need to grant somebody access to creating/modifying your calendar entries and/or accepting meeting invitations on your behalf. The functionality extends to emails, notes and tasks. This tutorial provides a brief explanation of enabling another user as your delegate.

    • NOTE: The following instructions will work with Office 365 (2016)
    • In the top file menu bar, click “Outlook” and then click “Preferences”

    • At the Outlook Preferences menu, click “Accounts”
    • At the Accounts screen, click the account you would like to make somebody a delegate of. With the account highlighted, click the “Advanced” button in the bottom right corner

    • At the next menu, click the “Delegates” tab at the top of the window and then click the plus (+) sign below the “Delegates who can act on my behalf:” panel

    • Type in the name of the person you would like to add as a delegate, select their name and then click “Add”

    • At the Permissions window, choose the permissions you wish to grant your new delegate and then click the “OK” button
      • If you check the “Send permissions summary” box, they will be alerted of their status as your delegate

    • In the top left menu bar, click “File”

    • At the Account Information screen, click the  “Account Settings” drop down icon and then click “Delegate Access”

    • At the Delegates screen, click the “Add” button

    • At the Add Users screen, type in the name of the person you would like to add as a delegate, select their name and then click the  “Add” button at the lower left hand side of the window. If you do not wish to add any more delegates at this time, click “OK”

    • At the Delegate Permissions: screen, choose the permissions you wish to grant your new delegate and then click the “OK” button
      • If you check the “Automatically send a message to delegate summarizing these permissions” box, they will be alerted of their status as your delegate

    • Click “OK” to this window and the Add Users window
